Refund & Cancellation Policy

At IMG Helping Hands, we strive to deliver high-quality mentorship, research training, clinical experiences, and educational guidance. Because our services require significant planning, institutional coordination, and advance allocation of mentors and resources, we maintain the following Refund & Cancellation Policy.

By enrolling in our programs, you acknowledge and agree to this policy.

1. General Policy

  • All payments are final and non-refundable.
  • Fees cover administrative preparation, mentor allocation, institutional arrangements, and access to educational resources, which begin immediately upon registration.
  • Refund requests due to change of mind, dissatisfaction, or unmet personal expectations will not be honored.

2. Cancellations by Participants

a. Mentorship, Research & Advisory Services

  • Fees are non-refundable once enrollment is confirmed.
  • Rescheduling may be requested at least 7 days in advance, subject to mentor availability and administrative approval.

b. Clinical Rotations, Externships & Observerships

  • Fees are non-refundable once a slot is secured.
  • Cancellations due to visa denials, personal travel issues, or scheduling conflicts are the sole responsibility of the participant.
  • Rescheduling may be possible only if approved by the host institution and at IMG Helping Hands’ discretion.

c. Webinars, Workshops & Events

  • Fees for webinars and workshops are non-refundable.
  • If a participant misses a live session, access to recordings (if available) may be provided, but no refund or reschedule is guaranteed.

3. Cancellations by IMG Helping Hands

If IMG Helping Hands cancels a program for reasons within our control, participants may receive:

  • A credit toward a future program of equal value, OR
  • A partial refund, at our discretion.

IMG Helping Hands is not responsible for cancellations or disruptions caused by factors outside our control, including but not limited to:

  • Natural calamities (earthquakes, floods, storms, pandemics, epidemics).
  • Institutional or hospital policy changes.
  • Government regulations, visa restrictions, or travel bans.
  • Technical failures or platform outages.
  • Personal emergencies, illness, or unavailability of mentors, faculty, or service providers.

In such circumstances, IMG Helping Hands may reschedule the service or provide alternate arrangements but is not obligated to issue refunds.

4. No Guarantees

Participation in IMG Helping Hands programs does not guarantee:

  • Residency match, interview invitations, or employment offers.
  • Publication acceptance in journals or conferences.
  • State or limited license approvals.
  • Issuance of Letters of Recommendation (LORs), which remain at the discretion of supervising physicians.

5. Disputes & Chargebacks

  • Initiating a chargeback or payment dispute without contacting IMG Helping Hands first is considered a breach of this policy.
  • We reserve the right to suspend services, restrict future participation, or take legal action to recover costs in such cases.

6. Special Circumstances & Exceptions

Any exception to this policy must be made in writing and approved by IMG Helping Hands leadership. Verbal assurances, informal agreements, or implied promises do not constitute valid exceptions.

7. Transfers & Substitutions

  • Program slots are non-transferable without prior written approval.
  • Substitution of participants may be considered only in exceptional cases and subject to administrative review.

8. Policy Updates

IMG Helping Hands reserves the right to modify this Refund & Cancellation Policy at any time. Updates will be published on our website with the effective date. Continued use of services after updates constitutes acceptance.
